Customer Outstanding

List unpaid customer bills as an Invoice Credit list bill by bill, as a Company Credit summary that totals what is still owed against each product, or as an Ageing report that splits what each customer owes by how old the bill is. Filter by town, sub-town, company, group, customer, recovery man and invoice number, and scope every report by a single "As Of" date or a From–To date range.

Filter to a single recovery man (the booking man who owns the bill). Type to search and pick from the list; leave empty to include all recovery men. It applies to Invoice Credit and Company Credit alike.

As Of / Date Range Optional

A pair of radio buttons that choose how the report is scoped. As Of (default) — every unpaid bill whose invoice date is on or before the single date. Date Range — unpaid bills whose invoice date falls between the From and To dates (inclusive), and the To picker appears. In As Of mode the To picker is hidden, since only one date applies.

As Of / From Optional

The date picker beside the radio buttons. In As Of mode (label reads "As Of") it is the single cut-off date; in Date Range mode (label reads "From") it is the start of the invoice-date window. Defaults to today.

To Optional

The end of the invoice-date window. Only shown when Date Range is selected; it is hidden in As Of mode.

Important Notes

ℹ️
Two reports, one set of filters: Invoice Credit (F10) lists the unpaid bills; Company Credit (F11) totals them. Both read the same filters, so switching between them never changes which bills qualify. The Arrear Report lives on Customer List, because it is scoped by town and sub-town only.
ℹ️
Date mode: The As Of / Date Range radio buttons pick how both reports are scoped — As Of returns bills with an invoice date on or before the single date, while Date Range returns bills with an invoice date between From and To. In both modes only bills that still carry a balance are shown, and the filter works on the invoice date against the current balance — a bill paid after the cut-off is treated as settled and will not appear.
ℹ️
Recovery Man: Choose a recovery man to see only the outstanding bills booked under that person; leave it blank to include everyone. This combines with the town, sub-town, company, group and customer filters. The R.man Credit report itself is one row per recovery man — their whole book on a single line, no longer split out by company.
⚠️
Reading the Company Credit report: One row is one product, with the company and group it belongs to beside it. It shows that product's Net, Received, Write-off, Adjustment and Outstanding, so the row reads Net + Adjustment − Received − Write-off = Outstanding. Rows are grouped under the company they belong to, and each company group ends with its own sub-total. This report answers what is still owed against each product; use Invoice Credit for who owes it. Note that a product is listed only when its outstanding is more than 2: balances of 2 or less are treated as rounding noise and dropped, and because the test is "more than 2", a product in credit (a negative balance) does not appear here either — use Invoice Credit to see those.
ℹ️
Invoice range: Inv# From and Inv# To each default to 0, meaning no bound on that side. Either can be used alone; both together give an inclusive range. A non-zero Inv# From greater than a non-zero Inv# To is rejected before the report runs.
ℹ️
Reading the Ageing report: One row is one customer. What that customer still owes is split across five columns by how old each bill is: 1-15, 16-30, 31-60, 61-90 and Above 90 days. The age of a bill is counted from its own invoice date up to the As Of date (or the To date in Date Range mode), so moving that date moves the columns with it — set it to a month end and you have the position as it stood then. A bill dated on the As Of date itself is nought days old and is counted in the 1-15 column, so nothing is left out of the split. Each band shows how many bills its amount is spread over, in brackets after the figure — so 1000 (3) is three bills totalling a thousand. A Bills column carries the total count, because a large figure sitting on one bill reads differently from the same figure spread over twenty. Rows are grouped by town and then sub town, each group carrying its own total — and the Bills column totals with them, giving the number of open bills per town.
ℹ️
Ageing agrees with Invoice Credit: Ageing is the same report as Invoice Credit, grouped differently: the same filters, the same bills, the same cut-off date and the same rounding rule. Run both over the same criteria and the five columns add up to exactly what Invoice Credit totals. If the two ever disagree, one of them has been given different filters — check the dates first.
⚠️
On Ageing, Balance is not the same figure as Outstanding: The Outstanding figure on the Ageing report is the five columns added together — what the customer owes on bills that are still open. Balance beside it is the ledger balance held on the customer record. These are two different measures and they routinely differ: a customer can show a ledger balance of 76,536 against 50,054 of open bills. Neither figure is adjusted to make them agree, and the gap is not an error in this report — it is the same difference the Discrepancy report exists to list. Use the age columns to chase bills, and the balance to read the account.
ℹ️
A customer with a balance but no open bills is not listed: The Ageing report lists customers carrying open bills, so a customer whose bills are all settled does not appear even when their ledger balance is not zero. Their ledger is the place to look into that.
ℹ️
Which bills count, and how company figures are worked out: Every report except Ageing starts from the same list — the bills whose own outstanding is more than 2 either way, after the town, sub-town, customer, recovery man, invoice number and date filters. With no company chosen, Invoice Credit and R.man Credit show the figures held on each bill. Once a company is chosen — and always on Company Credit — only the product lines of those bills that are still owed are counted, each line reading Net + Adjustment − Received − Write-off. Lines already settled or in credit are left out, and a bill that is settled overall never appears, even if one of its lines is still open. Where a balance was moved on Shift Invoice, its adjustment is counted against the company of the bill it was moved to. So a company-wise total need not equal the customer’s own balance; that gap is not an error.
