Important Notes

💡
Compliance: Use the License and GST filters to identify customers needing updated documentation.
⏰
Arrear Report: Lists every customer whose receivable balance is not zero. It is scoped by Town and Sub Town only — the Category, Income Tax, GST, License, date and Active inputs apply to the customer list report and are ignored by the arrear report. For unpaid bills invoice by invoice, use Customer Outstanding instead.
📤
Export Master Data — what the file contains: one plain sheet, one row per customer, with the customer's Town and Sub Town columns first and then its own details. There is no totals row and no filter applied to the sheet, so it can also be used as a sample file: clear the rows, type your own data in, and import it. Only active records are exported, and a Town or Sub Town with no active customers is left out. The file is named after the export date and is written to the MASTERDATA folder under the Datalink path set in Organization Setup.
⚠️
The filters do not apply to the export. Report and Arrear Report use the filters on this screen; Export always carries the complete active customer master. This is deliberate — a transfer file whose contents depend on filter settings nobody wrote down cannot be reconciled later. The confirmation prompt says so before anything is written.
🚫
What the export does NOT carry: customer balances (they are accounting entries, not master data — imported customers always start at zero, with no ledger row), the audit columns (entered by / entered on, which describe this database's history and mean nothing elsewhere), and company representative assignments (the destination has its own representatives). Assign representatives in the destination after importing.
🔒
The file holds customer personal data — names, addresses, phone numbers, CNIC and NTN for every active customer — and can be copied or emailed anywhere once written. That is why it needs the separate Allow master data import/export right rather than the general report-export right. Note that the same right also permits importing, so it cannot be granted for extraction alone — give it only to staff who need to move master data between databases.
✏️
If you edit the file before importing: columns are matched by their heading, so you may reorder columns, but do not rename or remove a heading, and do not delete the hidden _meta sheet — the import uses it to recognise the file. Phone, mobile, fax, CNIC, NTN, STRN and code columns are stored as text so leading zeros survive; if you retype one, format the cell as Text first, or Excel will turn 03001234567 into 3001234567.
📋
Skipped customers: if an active customer's Town or Sub Town is missing or has been made inactive, that customer cannot be exported — the destination would have nowhere to put it. The count of such customers is shown when the export finishes. Fix their Town in Customer Setup and export again.
🗒️
Every export is logged. One entry per export — who, when, which database, which file and the record counts — is written to the error log, visible on the Error Log tab of the Help screen. Log entries are removed after 30 days.
